Artificial Intelligence is everywhere right now. For many business owners, it seems like a new AI tool appears every week.

The biggest question is not whether AI is powerful.

The real question is: How do I actually use it in my business? And maybe an even more important question is: Can I trust it?

Before we dive into tools and prompts, let’s start with a simple way to understand AI.

Think of AI as a Super Intern

AI is incredibly fast. It can research topics, summarize information, write drafts, brainstorm ideas, and analyze data.

But it still needs direction. This is why I believe the best way to think about AI is this:

AI is a super intern.

It knows a lot. It works quickly. But it needs clear instructions. If you give vague instructions, you get vague results. But if you give clear direction, the results can be extremely helpful.

One of the closest representations I have for this is from the series Suits. In the show, Mike is a character who loves to read and can memorize everything he reads. He becomes an intern and knows everything about the law, but he lacks experience and wisdom. That’s why Harvey is always the better lawyer.

Where AI Helps Business Owners the Most

Most business owners are overwhelmed by tasks. Marketing, emails, research, planning, documentation, and meeting notes. AI can help with many of these.

Here are some practical examples.

1. Writing Emails Faster

AI can help draft emails quickly.

Example prompt:

“Write a short email to customers announcing a spring promotion. Keep the tone friendly and professional and limit the email to 150 words.”

You still edit it. But the first draft happens instantly.

2. Generating Ideas

Ideas require consistent creativity. AI can help brainstorm.

Example prompt:

“Give me 20 social media post ideas for a local roofing company that wants to build trust with homeowners.”

Often, the ideas spark better campaigns.

3. Summarizing Research

AI can help analyze information faster than traditional search.

Example prompt:

“Summarize the major trends in the roofing industry over the last 5 years and explain what they mean for small contractors.”

Tools like Perplexity are especially useful for research.

4. Organizing Meetings and Notes

Example prompt:

“Turn these meeting notes into 5 clear action items with deadlines.”

This saves time after meetings.

The Secret to Good AI Results: Better Prompts

The biggest difference between helpful AI and useless AI is the prompt.

Good prompts include:

  • Specificity
  • Context
  • Audience
  • Tone
  • Format

Example of a weak prompt:

“Write something about marketing.”

Example of a stronger prompt:

“You are a marketing strategist. Give me 10 marketing ideas for a small home service business that wants to generate more local leads.”

The difference is clarity.

Remember this rule:

Clarity in = clarity out.

Important Guardrails for Business Owners

AI is powerful, but it must be used responsibly.

Do Not Enter Confidential Data

Avoid placing customer databases, private financial information, and internal business data into AI tools.

Always Verify Important Facts

AI can occasionally generate incorrect information. Use it as a starting point, not a final authority.

Humans Make the Final Decisions

AI can provide insights. But business owners must still make strategic decisions.

A Prompt You Can Try Today

Here is a prompt that often reveals useful ideas.

“Act as a business efficiency consultant. Ask me 5 questions about my weekly workload and suggest 3 ways AI could help save time.”

This turns AI into a thinking partner instead of just a tool.

The Real Opportunity With AI

AI is not replacing business owners. But business owners who learn how to use AI effectively will likely move faster than those who do not.

The opportunity is not about automation alone.

It is about:

  • thinking better
  • researching faster
  • communicating more clearly
  • freeing time for higher-value work

In other words, directing the work instead of doing every task yourself.

AI does not reward speed. It rewards clarity. Business owners who learn how to direct AI tools clearly will unlock real value.

Those who ignore it may find themselves competing with businesses that operate faster and smarter.

The good news is this: You do not need to master everything. You just need to start experimenting.
